Terms of Service

Governing language. This English text is provided for the convenience of users who do not
read Korean. The
Korean version is the official and controlling text; in the event of any
discrepancy or difference in interpretation between the two, the
Korean version prevails.
These Terms set out the conditions and procedures for using the
TRAK Room Reservation service provided by
Theodore Roosevelt Association Korea (the “Association”),
and the rights and obligations of the Association and its users.
Article 1 (Purpose)
The purpose of these Terms is to set out the rights, obligations and responsibilities of the Association and
its members, together with the conditions and procedures for use, in relation to the reservation service for
facilities operated by the Association.
Article 2 (Definitions)
- Service — the web service that allows users to view reservation availability for, and
request reservations of, facilities operated by the Association (meeting rooms, cafés and the like).
- Member — a person who has agreed to these Terms and completed the sign-up process.
- Use approval — the granting of reservation rights by the Association after it has
verified the affiliation, job title and contact details submitted by a Member.
- Venue — an individual space of the Association that is registered in the Service and
available for reservation.
- Reservation — a confirmed request by a Member to use a specific venue at a specific
date and time.
Article 3 (Effect and Amendment of the Terms)
- These Terms take effect upon being posted on the Service.
- The Association may amend these Terms to the extent that the amendment does not violate applicable law.
- Amendments will be announced within the Service from 7 days before they take effect
(from 30 days before, where the amendment is unfavourable to Members).
- A Member who does not agree to the amended Terms may terminate the use agreement (withdraw membership).
Article 4 (Formation of the Use Agreement)
- The use agreement is formed when a user agrees to these Terms and applies to sign up, and the Association
accepts that application.
- Sign-up is available by email or through a social account supported by the Association (Kakao, Google).
- The Association may refuse an application, or terminate the use agreement afterwards, in the following cases:
- the application uses another person’s identity or contains false information;
- the applicant is under 14 years of age;
- the applicant has previously been subject to a use restriction;
- there is a significant risk of interference with the operation of the Service.
Article 5 (Use Approval)
Signing up alone does not allow you to make reservations. Because the Association’s facilities
are operated on the premise of use by people connected with the Association, a Member must submit their
affiliation, job title and contact details and receive the Association’s
approval before the reservation function becomes available.
- Viewing reservation availability is possible even before approval.
- The Association reviews the submitted information and grants or refuses approval; where approval is
refused, the reason is communicated to the Member.
- A Member whose application was refused may supplement the information and apply again.
- Even after approval, the Association may suspend use where a ground under Article 9 exists, and may
restore approval once the ground has been resolved.
- Where the submitted affiliation or contact details change, the Member must update them without delay.
Article 6 (Reservations)
- Reservations are confirmed on a first-come, first-served basis; a reservation that
overlaps an already confirmed time will not be accepted.
- The opening hours, reservation unit, maximum duration of a single use and advance booking
window may differ from venue to venue, and the values shown on the Service are
authoritative. The Association may change them according to operational circumstances.
- Members must accurately enter the meeting name, number of attendees and a contact number for the day
when making a reservation.
- Reservations cannot be made during closure or maintenance periods designated by the
Association.
- Reservations are made on the premise of actual use by the Member or their organisation;
reservation rights may not be transferred or lent to another person.
Article 7 (Changing and Cancelling Reservations)
- A Member may cancel a reservation directly in the Service at any time before the use period begins.
- Cancelled time slots are immediately released so that other Members may reserve them.
- The Association may cancel a confirmed reservation and will notify the Member of the reason
in the following cases:
- facility inspection or repair, or a safety-related ground, arises;
- there is an unavoidable operational need, such as an official event of the Association;
- the reservation details are untrue or breach Article 6;
- an event of force majeure, such as a natural disaster, occurs.
- Reservations that will not be used must be cancelled in advance. Repeated no-shows
without prior notice may result in a use restriction under Article 9.
Article 8 (Obligations of Users)
- Members must use a reserved venue within the purpose and time range reserved.
- After use, Members must restore the facility and its equipment to their original condition.
- Where a facility or its equipment is damaged through a Member’s intent or negligence, that Member is
liable to compensate for the loss.
- Members must not:
- misappropriate another person’s account, or lend or transfer their own account;
- make reservations using false information, or monopolise or resell reservations;
- interfere with other users’ use, or disturb order at the facility;
- use the facility for a purpose contrary to law or public order and morals;
- engage in technical conduct that interferes with the normal operation of the Service.
- Members are responsible for managing their own account credentials and must notify the Association
immediately if they suspect misappropriation.
Article 9 (Use Restrictions)
- The Association may suspend use or terminate the use agreement where a Member breaches
Article 8 or where any of the following applies:
- repeated no-shows without prior notice;
- damage to the facility or harm caused to other users;
- the submitted affiliation or identity information is found to be false.
- The Association will inform the Member of the reason for any such measure, and the Member may object to it.
- In urgent or serious cases the Association may act without prior notice and give notice afterwards.
Article 10 (Provision and Suspension of the Service)
- The Service is, in principle, provided 24 hours a day, all year round.
- The Association may temporarily suspend the Service for reasons such as system inspection or replacement,
equipment failure or loss of communications, and will give prior notice; in urgent cases notice may be
given afterwards.
- The Association may change or discontinue the content of the Service, and will give
30 days’ notice before discontinuation.
Article 11 (Notifications)
- The Association may send reservation confirmation, change and cancellation notices, and reminders before
the start of use, by web notification or email.
- Essential notices concerning reservations are incidental to the provision of the Service. A Member may
opt out of notifications at any time, but bears any disadvantage arising from not receiving them.
Article 12 (Protection of Personal Data)
The Association protects Members’ personal data in accordance with applicable law; details are governed by the
Privacy Policy.
Article 12-2 (Operator and Contact)
Article 13 (Limitation of Liability)
- The Association is not liable where it cannot provide the Service due to force majeure, such as a natural
disaster, power failure or a carrier outage.
- The Association is not liable for interruptions to a Member’s use of the Service that are attributable to
that Member.
- The Association does not take part in, and is not responsible for, the content of meetings or
events held by a Member at a reserved venue.
- The Service is provided free of charge, and the Association is not liable for loss
incurred by a Member in connection with use of the Service in the absence of intent or gross negligence
on the part of the Association.
Article 14 (Dispute Resolution and Jurisdiction)
- The Association and its Members shall endeavour to resolve any dispute arising in connection with the
Service through good-faith consultation.
- Any lawsuit concerning a dispute not resolved by consultation shall be brought before the court having
jurisdiction under the Civil Procedure Act of the Republic of Korea.
- These Terms are governed by and construed in accordance with the laws of the Republic of Korea.
Addendum — These Terms take effect on
August 6, 2026.
